Managing access to HelloSend is easy and flexible—designed to help teams collaborate across multiple CRMs and messaging platforms. Log in to HelloSend and navigate to Settings.

Click on the Users tab.

Select Add User.

Enter the user's email address and choose the appropriate User Role (e.g., Admin, Manager, Agent).

Under Messaging Settings, set the phone number access level:

All Numbers: The user can access all enabled numbers.

System Default: Only the default service numbers assigned system-wide will be shown.

Assigned Numbers Only: The user will see only the numbers explicitly assigned to them.

Note:

Twilio & WhatsApp: All numbers are globally accessible.

RingCentral: Users must manually authorize access to their own RingCentral numbers.

Click on Call Settings:

Choose the team from the dropdown.

Assign Inbound, Outbound, or All call permissions as needed.

Note: You cannot change the email address or primary identity of an existing user.

A confirmation popup will appear. Click Delete again to confirm.
