How to Use One Number Across Multiple Users in HelloSend

In HelloSend, there's no need to purchase a separate phone number for each user. Instead, a single number—whether it's from Twilio, RingCentral, or a WhatsApp Business API—can be shared across multiple users. This makes it a cost-effective and efficient way to manage customer communication at scale.

This setup is especially useful when users need to send and receive messages from a shared SMS or WhatsApp number for consistent follow-ups and centralized messaging within your CRM.

Using the Share Number option in HelloSend's settings panel, admins can assign one number to multiple users. Once shared, each user can send and receive SMS, WhatsApp messages, or calls (depending on the number type) through the same number—without the need to purchase user-specific numbers. This keeps communication streamlined and ensures nothing slips through the cracks.

If preferred, HelloSend also supports assigning individual numbers to specific users, offering flexibility based on your team's structure. Whether you choose shared or dedicated numbers, HelloSend keeps the setup simple, scalable, and user-friendly.

Note: If you want the user to access all available phone numbers in the account, select "All Numbers" in the Phone Number Access dropdown instead of "Assigned Numbers Only".
