1Navigate to Workflow Rules

  • Log in to your Zoho CRM account
  • Click the Settings (gear icon) in the top-right corner
  • Under the Automation section, click Workflow Rules

2Create a New Workflow Rule

  • Click Create Rule
  • Select the module (e.g., Leads, Contacts, Deals) where the rule should apply
  • Enter a Rule Name and optional Description
  • Choose when the rule should trigger:
    • On record actions (Create, Edit, Field Update)
    • On a Date/Time
    • Based on a Score

3Set Rule Criteria in Zoho CRM

  • Define the conditions (e.g., Lead Status is "Interested")
  • Use AND/OR logic to create complex criteria
  • Click Next to proceed

4HelloSend Action

  • Once in the Instant Actions section:
    • Click on HelloSend (RingCentralAdvanced) from the list
  • This opens the HelloSend Automate configuration page.
  • Fill out the required fields:
    • Friendly Name
    • From Number
    • To Number Fields - Choose a CRM module that includes phone fields
    • Select the associated module's phone field
  • Message Body Setup:
    • Choose a module-specific message template
    • Note: Once a template is selected, the message body becomes read-only
  • Click Create Webhook URL to finalize

After completing the setup, click Save to store the webhook in Zoho CRM.

5Automation Trigger Example

When a lead is created in Zoho CRM, the webhook will automatically trigger, sending a message using the selected HelloSend template to the person associated with that lead.
