Creating Custom Roles
By default, HelloSend includes two predefined roles: Admin and User. These serve as baseline configurations.
- Admin: Full access to all features and settings
- User: Limited to messaging with assigned records
However, you can create custom roles to suit the unique needs of your team.
To create a new custom role:
- Click the "Create Roles" button
- Enter a Role Name (e.g., Sales Agent, Manager, Support Lead)
- Define permissions across the following main setions:
- Messages – Inbox, Campaigns, Automations, and Templates
- Calls – Teams and Call History
- Settings – Admin Settings, Channels, Blocked Numbers, and User Management
- Once all permissions are set, click the "Create" button to save the role.

Message Permissions
Control user access to core messaging features:
Inbox Permissions
- No Access: Users cannot view or use the Inbox
- Owned Records: Access only to conversations they've participated in
- All Records: Access to all conversations in the organization
- Owned Records (View Only): View only their conversations, no send option.
- All Records (View Only): View all conversations, no send option.
Campaign Permissions
- No Access: No ability to create or access campaigns
- Owned Records: Create/access only their campaigns
- All Records: Full access to all campaigns
Automation Permissions
- No Access: No ability to create or manage automation.
- Owned Records: Create/access only their automation workflows.
- All Records: Full access to all workflows.
Templates Permissions
- No Access: Can view templates for sending messages, but cannot create/edit.
- Owned Records: Can create/edit their templates and view team templates.
- All Records: Full access to all team templates.

- Hide: Restricts access to team management
- Show: Allows users to manage team settings
Call History Permission
- Hide: Restricts access to call history
- Show: Allows viewing and managing call records

Channels
- Hide: Restricts access to communication channels. Channels will still be visible if a Messaging Number is assigned as 'System Default'.
- Show: Allows full channel management.
Blocked Numbers
- Hide: Cannot view or edit blocked numbers.
- Show: Can block or unblock phone numbers.
Users
- Hide: No access to user management.
- Show: Can add/edit team members.
